Privacy policy
Last updated: 8 October 2026
Told by Fire Media makes video and runs marketing for other businesses. Doing that means we collect information about the people who contact us, the people who visit our website, and sometimes the people who appear in the work we film. This policy explains what we collect, why, who else sees it, and what you can ask us to do about it.
We have tried to write it in plain English. If something here is unclear, call us and ask. The number is at the bottom.

Told by Fire Media is the company responsible for the information described in this policy. In privacy law language, we are the controller of it.
What we collect
Landing-page analytics and session recordings
On our trades, real-estate and property-services landing pages, PostHog collects page visits, device and referral information, clicks, scrolling, performance measurements and session recordings so we can understand how the pages and enquiry form work.
Recordings show the answers you choose and what you enter in the current enquiry fields, including company, location, name, email and phone. This information can be recorded even if you do not submit the form. Do not enter passwords, payment details or other confidential information in this enquiry form.
These recordings are stored by PostHog for 30 days. We do not record request bodies, request headers or console logs. Password/payment fields and unrelated inputs remain masked. Analytics and replay are suppressed when we detect Global Privacy Control, Do Not Track or a saved measurement decline. You can change your measurement choices using the controls on this privacy page.
Information you give us
When you fill in a form on our website, on one of our landing pages, on a form we run inside Facebook or Instagram, or when you email or call us, we collect what you send. Depending on the form, that includes:
- Your name
- Your email address
- Your phone number
- Your company name and job title
- Where your business is based
- What kind of work your business does
- Who at your company would be willing to appear on camera
- What you want video to do for your business
- Roughly what you are able to spend each month
- Links to your existing social media or website
- Anything else you choose to write in a message to us
Some of those fields are required and some are optional. The form tells you which.
Information we collect automatically when you visit our website
When you load a page on toldbyfire.media or on one of our landing pages, we and the services listed further down automatically receive:
- Your IP address, and the approximate city or region it suggests
- Your browser, operating system and device type
- Which pages you looked at, in what order, and how long you stayed
- The page or advertisement that sent you to us, including tracking codes attached to a link
- Whether you clicked a button, started a form, or finished one
- Cookies and similar identifiers stored by your browser
Information from advertising platforms
We advertise on Meta, which is Facebook and Instagram, and on LinkedIn. When you interact with one of those advertisements, or fill in a form inside one of those apps, we receive what you submitted and limited information about the advertisement you responded to.
Footage and photographs of people
We are a video production company. Our crews film inside businesses, at job sites and at events. That means we sometimes record people who are not our client and who did not book the shoot. There is a separate section about this further down, because it deserves one.
Why we collect it
We use this information to:
- Reply to you when you contact us
- Work out whether we are a good fit for your business, and tell you honestly if we are not
- Book and prepare for calls, meetings and shoots
- Send proposals, estimates and invoices
- Deliver the work you hired us to do
- Send marketing emails, if you have agreed to receive them
- Call or text you about an enquiry you started, on the terms in the section below
- Understand which pages, advertisements and offers work, and which do not
- Improve the website and our advertising
- Keep normal business records, and meet our legal and tax obligations
We do not use your information to make automated decisions that have a legal effect on you.
We do not sell your personal information for money
We have never sold anyone's personal information for money and we have no plans to.
We do need to be straight with you about something, because Rhode Island law defines selling more broadly than most people would expect. Under Rhode Island's privacy statute, a sale includes handing personal data to another company in exchange for monetary or other valuable consideration. Advertising and analytics tools work by sending some information about your visit to the company that provides them, and in return we get measurement and better advertising. Some regulators and some courts treat that exchange as a sale even though no money changes hands. Several other state laws use a similarly broad definition, and California uses the word sharing for the same idea.
We are not going to argue the point in a privacy policy. Instead, below is the list of every company that receives personal information from us, and what they get. If you want that to stop, the section on your choices tells you how.
Third parties who receive personal information from us
Rhode Island requires a business like ours to identify the third parties to whom it has sold or may sell personal information, rather than just describing them by category. This is our list. We keep it current.
Website, hosting and forms
| Company | What it does for us | What it receives |
|---|---|---|
| Wix | Hosts toldbyfire.media, runs our website forms, our blog and our invoicing | Everything you submit through a website form, plus normal web server records of your visit |
| Vercel | Hosts our landing pages and stores the records those pages create | Everything you submit on a landing page form, plus normal web server records |
| Typeform | Runs the enquiry form embedded on our contact page | Your answers to that form |
| Resend | Emails us a notification when somebody submits a landing page form | Your name, email, phone and answers, passed through so we can be alerted |
Advertising and measurement
| Company | What it does for us | What it receives |
|---|---|---|
| Meta Platforms (Facebook, Instagram) | Runs our advertising, and measures which advertisements lead to enquiries | Information about your visit to our site, including pages viewed and actions taken, sent from a tag running in your browser. On our three campaign pages, Meta receives page-view events and a Lead event only for newly accepted enquiries. Our server also sends that Lead event with the same event ID, hashed email and, where supplied in international format, hashed phone number. We do not send free-text form answers in these events. |
| Runs our advertising on LinkedIn | Information about your interaction with our advertisements, and anything you submit through a LinkedIn form | |
| Google Tag Manager loads our measurement tools. Google Analytics and Search Console tell us how people find and use the site | Information about your visit, including pages viewed, device and approximate location | |
| PostHog | Web analytics, heatmaps, performance diagnostics and session recording on our three campaign landing pages. | Page paths, anonymous browser/session identifiers, device/referral and campaign information, interactions and performance measurements. Recordings include entries and selected answers in the current enquiry fields, even before submission. Password/payment fields and unrelated inputs are masked; URL queries, request bodies/headers and console logs are excluded. |
Running our business
| Company | What it does for us | What it receives |
|---|---|---|
| Monday.com | Our customer relationship system, where enquiries and projects live | Your name, contact details, your answers to our forms, and our correspondence with you |
| Google Workspace and Google Drive | Our email, and where we store footage and finished work | Emails between us, and any video or photographs you appear in |
| Klaviyo | Sends our marketing emails and newsletters | Your name and email address, and whether you opened or clicked |
| Metricool | Schedules and measures social media posts, for us and for our clients | Published content and its performance statistics. Not your enquiry details |
| Sprout Social | The social media tool we are in the process of replacing with Metricool | The same kind of information as Metricool, until we finish the move |
We also share information when we have to: with our professional advisers, with a buyer if the business is ever sold, and with law enforcement or a court where the law requires it.
Cookies and tracking
On the three campaign landing pages, PostHog uses local browser storage to recognize visits and sessions and records the current enquiry fields as described above. Meta page-view and accepted-enquiry measurement runs automatically. Existing advertising declines and browser privacy signals suppress it. A saved privacy preference may use a first-party cookie so we can continue to honor it. Other website services listed below are not necessarily loaded on these campaign pages.
| What | Who runs it | What it is for |
|---|---|---|
| Wix platform cookies | Wix | Making the site work, security, and remembering settings |
| Google Tag Manager | A container that loads the measurement tools below | |
| Google Analytics | Counting visits and understanding how the site is used | |
| Meta Pixel | Meta | Measuring advertising, and building audiences for future advertisements |
| PostHog | PostHog | Product analytics |
That is the list as it stands. When we add a tool, we update this page. You can control cookies through your browser settings, and blocking them may stop parts of the site working properly.
Phone calls and text messages
If you give us your phone number, we may call or text you about the enquiry you started.
We will only send you marketing or promotional text messages if you have separately agreed to receive them, by ticking a box that says so. Giving us your phone number on a form is not the same thing as agreeing to marketing texts, and we do not treat it that way. Agreeing to receive texts is never a condition of buying anything from us.
If you do agree, here is what that means:
- Message frequency varies
- Message and data rates may apply
- Reply STOP to any message to stop receiving them
- Reply HELP for help, or call us on 401.492.4086
- We will act on a STOP request promptly, and in any event within the time the law allows
You can tell us to stop calling or texting by any reasonable means: reply to a message, tell whoever is on the call, or email us. You do not have to use a particular form of words.
Marketing emails
If you subscribe, or if you enquire and we add you to our list, we send occasional emails about our work. Every one of them has an unsubscribe link, and we act on unsubscribes promptly. You can also just email us and ask to be taken off.
Video, photography, and people who appear in our work
This section is for people who did not hire us and may not have known we were coming.
What we do. Our clients hire us to film their business. We arrive with cameras, we film what happens, and we edit that footage into videos the client uses in their own marketing. Along the way we often record employees, customers, contractors and members of the public who happen to be present.
Where that footage goes. Finished videos are delivered to the client, who publishes them where they choose. We also keep the footage in our own storage, and we use finished work in our portfolio, on our website, on our social media accounts, and sometimes in advertising we run for ourselves.
How to ask us to take you out. If you appear in something we made and you want out, email us at Toldbyfire@gmail.com or call 401.492.4086. Tell us where you saw it, roughly when and where it was filmed, and how we can recognise you. We will:
- Confirm we received your request
- Find the material and check whether you are identifiable in it
- Remove it from anything we control, which is our own website, our own social accounts and our own advertising
- Tell the client that you have asked to be removed, and pass on your request
- Tell you what we did
We should be honest about the limit of that. Once a client has published a video on their own channels, or a viewer has downloaded or reshared it, we cannot take it back. We can stop using it ourselves and we can ask the client to stop. We cannot promise it disappears from the internet, and we are not going to pretend otherwise.
If you are being filmed and you would rather not be, say so to the crew at the time. That is the easiest moment to solve it, and nobody will be annoyed with you for asking.
How long we keep information
We keep personal information only as long as we need it for the purposes described above, and for as long as we have to keep normal business, accounting and tax records.
Rhode Island law says a business must not keep personal information longer than is reasonably required for the purpose it was collected for, and must destroy it securely when it is done with it. If you want to know how long we are holding something in particular, ask us and we will tell you.
Your choices and your rights
You can ask us to:
- Tell you what we hold about you, and where we got it
- Correct anything that is wrong
- Delete what we hold, where we are able to
- Give you a copy of what you gave us, in a portable format
- Stop sending you marketing, by email, text or phone
- Stop using your information for targeted advertising
- Take you out of a video or photograph, as described above
How to ask. Email Toldbyfire@gmail.com or call 401.492.4086. Say what you want and give us enough detail to find you. You do not need to use any special wording, and it costs nothing.
What happens next. We will confirm we got your request, and we will respond as quickly as we can and in any event within the time the law allows. If we need longer we will tell you why. If we turn a request down we will tell you the reason and how to challenge it.
We may need to check you are who you say you are before we act, particularly on a deletion request. We will not ask you for more information than we need to do that.
We will not treat you worse for asking. Exercising any of these rights will not change the price you pay or the service you get.
If you are in California
California residents have specific rights, including the right to know what personal information is collected and shared, the right to delete it, the right to correct it, and the right to opt out of the sale or sharing of personal information for cross context behavioural advertising. You may also designate an authorised agent to make a request for you. Use the contact details above and we will handle it.
How we protect information
We use reasonable measures to protect the information we hold. In practice that means accounts protected by passwords and, where available, two factor authentication, access limited to the people who need it, and reputable service providers who carry their own security commitments.
No method of storing or sending information over the internet is completely secure, and we are not going to claim otherwise.
If we ever suffer a breach that puts your information at real risk, we will notify you and the authorities as the law requires. Rhode Island requires that within 45 days of confirming a breach.
Children
Our services are for businesses. We do not aim our website or our marketing at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.
Some of the video work we produce for clients is filmed in public or semi public places and may incidentally include children. If your child appears in something we made and you want them removed, use the process in the video section above and we will prioritise it.
Changes to this policy
We update this policy when what we do changes. The date at the top tells you when we last did. If we make a change that materially affects how we use information you already gave us, we will make a reasonable effort to tell you directly rather than relying on you noticing.
